The whole operation in one dashboard

  • Dispatch
  • Invoicing
  • Auto texts & email
  • Payments
  • Review drip

The challenge

Field-service companies juggle the same moving parts every day: booking the job, sending the technician, keeping the customer informed, invoicing, getting paid, then asking for a review. One of them ran scheduling from Google Sheets, so every step depended on someone remembering to do it.

What we built

  • A dispatch board with every job, its technician, its status and the next step.
  • Invoicing and payment collection built into the job, so finished work turns into a payment request automatically.
  • Automated texts and emails at every stage, from booking confirmation to payment received.
  • A live status link for every customer, so they can check their job without calling.
  • A job link for every technician with everything they need, for immediate follow-up from the field.
  • A full review drip that asks customers for a Google review at the right moment and follows up automatically.

The result

One system runs day-to-day operations for two auto glass companies and a gutter company, each on its own dashboard.

Every lead routed, every channel measured

  • Call queue
  • Lead routing
  • Booking
  • VIN lookup
  • ROAS reporting

The challenge

Leads arrive from ads, calls and the website at once. The team needs to know who calls whom next, which leads turn into booked jobs, and which ad spend actually pays off.

What we built

  • A call queue that puts the next lead in front of the right person.
  • Lead routing and internal alerts, so new leads reach the team right away.
  • A booking system that turns a call into a scheduled job without double entry.
  • VIN lookup to identify the exact vehicle while the customer is still on the phone.
  • Internal reporting with full ROAS by channel and other sales analytics.
  • Team performance views showing each rep’s calls, bookings and results.

The result

The sales team works from one screen, and the owners see live numbers on what each channel and each rep brings in.

Bookings, deposits and guide briefs on autopilot

  • WhatsApp auto-reply
  • Deposits
  • Seat holds
  • Departure board
  • Guide brief

The problem it solves

Tour agencies take bookings over WhatsApp at all hours, then chase deposits, track seats for each departure, collect medical notes and waivers, and brief guides the night before. Most of it lives in chats and spreadsheets.

How it works

  • WhatsApp enquiries get a reply within a minute with availability, price and pickup time, and an offer to hold seats.
  • Medical notes from the chat are saved to the booking automatically.
  • A deposit request goes out on its own (card link, PayPal or bank transfer), seats are held for 24 hours, and the guest is confirmed as soon as the deposit arrives.
  • A departure board for the next 30 days: seats sold and paid, medical flags, missing waivers and weather watches.
  • Each departure lists every guest, what they’ve paid, what’s left to collect and their medical notes.
  • The guide gets a brief the day before: headcount, medical notes, cash to collect and the pickup schedule.

Who it’s for

Adventure and day-tour operators who sell over WhatsApp and run small-group departures.

Monthly partner invoices that chase themselves

  • Monthly invoices
  • Stripe links
  • Payment status
  • Auto thank-you

The challenge

Billing partners every month meant building each invoice by hand, sending it, then checking who had paid.

What we built

  • Each partner’s invoice created and sent automatically every month.
  • A Stripe payment link in every invoice.
  • Payment status read back from Stripe, so every invoice updates itself from sent to received.
  • Friendly and overdue reminders go out automatically until the invoice is paid.
  • An automatic thank-you as soon as the payment is received.

The result

Partner billing runs on its own each month, and everyone can see at a glance who has paid.

Upload from the site, live on the website

  • Phone & desktop
  • Blueprints
  • Construction
  • Final project
  • Auto-published

The challenge

An architecture firm’s website is its portfolio. Keeping it current meant sending photos to someone to edit the site by hand, so new work reached the website late.

What we built

  • A private dashboard that works on phone and desktop, so photos can be uploaded straight from the construction site.
  • Every upload is filed by project and by stage: blueprints, construction or final project.
  • The website updates on its own, placing every photo in the right project and the right section.
  • The team manages its portfolio without touching the website’s code.

The result

The website shows each project’s full story, from plans to finished building, and stays current without a web developer.

Built by VertiQ Field-service operations

Seven tools, one job record

  • Podium
  • Quo
  • Supplier portals
  • Google Ads
  • Google Sheets

The challenge

The operation used several systems for different parts of the customer and job lifecycle: Podium for customer communication and reviews, Quo for business calls, a Chase bank account, supplier warehouse portals for parts ordering, Google Ads, Google reviews, and a partner's Google Sheets tracker for recalibrations. The challenge was keeping the moving pieces coordinated without adding more manual administration.

What we built

  • A map of which system owns each record and which details the team needs at each stage.
  • Customer intake, scheduling, parts checks, job status, review requests and recalibration follow-up connected around one consistent job record.
  • Clear queues and exception handling for steps that still need a person or a supplier portal.

Our principle

Keep the tools that serve a purpose; reduce the gaps between them.

The company playbook, in one place

  • SOPs
  • Operating guide
  • Onboarding
  • Assessment

The challenge

As a company grows, the way it runs tends to live in a few people’s heads. Training is slow and every person does things a little differently.

What we built

  • A full library of SOPs, organised section by section across every area of the company.
  • A complete operating guide that explains how the pieces fit together.
  • An onboarding assessment that checks new team members understand each section.
  • A manager view of each new hire’s progress and the questions people miss most, so unclear SOPs get fixed.

The result

New team members learn from one source of truth, and every process is written down in one place.

An AI that finds jobs and applies for you

5–10 minbetween scans
0–100AI match score
$25–40a month to run

The challenge

A freelancer was paying a monthly subscription for a third-party bidding service that worked through an outside account linked to theirs. They wanted their own tool: faster applications, letters that sound like them, and a personal video in every proposal.

What we built

  • A job scanner that searches Upwork every 5–10 minutes with the freelancer’s keywords and drops jobs under budget, without verified payment, or already applied to.
  • AI match scoring: Claude reads each job post and scores the fit from 0 to 100. Weak matches are skipped and logged with the reason.
  • Tailored cover letters written from the freelancer’s own template and rules, including answers to screening questions.
  • A personal video page for every job, showing the job title above the same prerecorded video, and showing which clients watched it.
  • Submission through Upwork’s official connection, a dashboard to approve, edit or skip each proposal, and a daily email report at 6 pm.

Built-in safeguards

It starts in Review mode, where every proposal is approved with one click, and moves to Auto only after a clean trial period. Daily and hourly caps, a Connects floor and an automatic stop on any warning protect the account.

The result

The freelancer owns the tool and runs it for about $25–40 a month in hosting and AI, instead of paying a monthly subscription.

Email copy from one checkbox

  • Trello
  • Zapier
  • Claude
  • Google Docs
  • Slack

The challenge

An email marketing agency writes campaign copy for 30 client brands, each with its own Trello board, brand rules and Klaviyo account. Every email meant moving details between tools by hand.

What we built

  • A trigger on every Trello card: tick “Create copy” and the automation reads the brief, format, send date and discount code.
  • Claude writes the copy with that brand’s own rules and voice file, so every client sounds like themselves.
  • A review loop in Slack: the copywriter asks for changes in plain language and Claude revises with the whole conversation in mind. A ✅ reaction approves it.
  • On approval, the copy lands in a formatted Google Doc in the client’s folder, subject lines and preview text are posted to the card, and the card moves to “Copy completed”.

The result

A campaign’s copy costs about 3 cents in AI usage, and the whole agency’s monthly AI bill is around $13.

Monthly campaign plans, generated

30calendars a month
90days of results read
10+ hof manual work replaced

The challenge

Planning next month meant, for each of 30 clients, connecting to their Klaviyo account, exporting Trello history, generating a plan in Claude, then copying every campaign into Trello one card at a time. More than 10 hours of manual work a month.

What we built

  • A monthly schedule that runs once for each client, one after another.
  • Pulls the last 90 days of Klaviyo results: send dates, subject lines, open and click rates, and revenue.
  • Reads past campaign briefs from the client’s Trello board for messaging context.
  • Claude plans the month with the client’s brand rules in hand and returns a structured calendar.
  • One Trello card is created per campaign with its title and brief filled in, and the team is notified to review.

What stays human

The team reviews every card before any copy is written, and can override the plan for any special promotion.

Yes. We can configure existing platforms, connect APIs, create dashboards and build custom websites or lightweight internal tools when the off-the-shelf options don’t fit.
We start with a conversation about your current process, the problems you want to solve and what success would look like. Then we define a practical scope, priorities and implementation plan before building.
